Receiving and inspecting a peptide shipment

Two minutes at the point of receipt is the cheapest quality control available, and the only moment when a discrepancy is still straightforwardly someone else's to resolve.

Check before the packaging goes in the bin

Confirm compound identity, quantity and vial count against the packing list, and confirm the lot number on each vial matches the certificate supplied. A mismatch between vial and certificate is the single most consequential discrepancy and the easiest to miss, because both documents look correct in isolation.

If the shipment travelled with a coolant, note its state. Fully depleted coolant on a shipment of lyophilised material is usually not a problem — dry powder tolerates ambient excursions, which is why it ships that way — but it is worth recording, and it matters considerably more for anything shipped in solution.

Keep the packaging until the check is complete. Reconstructing a claim after the outer box has been discarded is significantly harder.

Look at the vials

The cake should look like the certificate says it should: typically a white to off-white lyophilised solid. Discolouration, a cake that has collapsed into a dense glassy layer, or visible moisture are all signals that the material has been warmer or wetter than intended.

Check seals and stoppers. A crimp that has lifted, a stopper sitting proud, or a vial that has clearly lost its vacuum or inert headspace means the dry, oxygen-free environment is gone, and both moisture and oxidative degradation have had an opportunity.

Cracks and chips matter beyond the obvious loss — a compromised container has not maintained the internal atmosphere regardless of whether powder escaped.

Record it, then store it

Log receipt date, lot number, quantity, condition on arrival and storage location. This is what makes it possible later to answer whether an anomalous result correlates with a particular lot — a question that is trivial with records and unanswerable without them.

File the certificate against the lot rather than against the compound, so it stays retrievable when a second lot arrives.

Then get it into storage promptly. Material sitting on a bench while paperwork is completed is material at ambient temperature, and the inspection is not a reason to extend that period.

Common questions

Is warm arrival a problem for lyophilised powder?
Usually not for a short transit. The dry state is what makes ambient shipping acceptable. Record it regardless, and treat solution-state shipments far more conservatively.
What should I do about a collapsed cake?
Treat it as a moisture or temperature excursion signal and raise it before use. The certificate describes the material as released, not as it arrived, and appearance is the cheapest available check on the difference.
